Managing Lists

Lists let you organize companies into collections that you can share with your team, export, or use as inputs for ICPs and automations.

When to use this

  • You want qualified prospects to land somewhere automatically. Create a “Working Pipeline” list with a Successful list action set to “move to CRM Export” — reps qualify in Discover and the hand-off happens without anyone remembering to move cards.
  • You need a curated customer list to seed an ICP. Build a “Top 20 Customers” list of your best-fit closed-wons and point the ICP builder at it. The quality of the ICP is bounded by the quality of the list, so curate deliberately.
  • A single rep owns a book of accounts. Use Claimed by owner so only the assigned AE sees their named accounts in that list — prevents double-coverage and keeps the rep’s view focused.
  • You want to share a target list with the whole team. Set sharing to Everyone on a “Q2 Named Accounts” list so every SDR sees the same priority list instead of working from separate spreadsheets.

Before you begin

  • You need a Goava account with access to the Lists feature.

Creating a list

  1. Click Lists in the left sidebar, or click Create > New list on the Dashboard.
  2. In the Create list modal, enter a List name.
  3. Choose a sharing option:
    • Private — Only you can see this list
    • Team — Your team can access it
    • Coworker — A specific coworker can access it
    • Everyone — All users in your organization can access it
  4. Optionally expand Advanced Options to configure:
    • Successful list action — What happens when a company on this list is qualified (e.g., move to another list)
    • Unsuccessful list action — What happens when a company is ignored
    • Claimed by owner — Toggle to restrict list items to the assigned owner
    • Sort order — Choose between Alphabetic, Revenue, Employees, or Goava Score
  5. Click Save.

Adding companies to a list

  • From any company view, click the Actions menu and select Add to list.
  • From a segment or customer list, select companies using the checkboxes, then use the bulk Actions dropdown and choose Add to list or Move to list.

Removing companies from a list

  • Select companies and choose Remove from list from the Actions dropdown.

Tip: Lists can be used as source data for building Ideal Customer Profiles. The better curated your lists, the more accurate your ICPs will be.
